UK Operations Manager (Embassy Summer)

The UK Operations Manager is responsible for the successful delivery of the Embassy Summer, and Academy programs across the 13 centers.

To ensure that Summer School, Academy, and Study Tour programmes are delivered to a high standard and within budget. To continue the improvement and development of the product and aim for high satisfaction rates from our clients. To lead the training and development of HO and centre staff and provide professional and pastoral support for the operations team.

Contract Type: Full-Time / Permanent

Key Responsibilities:

  • Working with the Global Summer Director and Embassy Finance Department to meet yearly financial budget targets
  • Ensure accurate contribution from the operations team in regard to the financial modelling for Embassy Summer, ensure that expenditure controls are in place for the operations team, and live season reporting is achieved
  • To ensure centre teams are informed of budgets and that systems are in place to check and control spending and that programmes run within budget.
  • Manage the main office area of the department and ensure administrative functions are covered at all times.
  • To develop HO and in centre systems to improve the accuracy and timely return of various in- centre administration tasks including accounts, occupancy records, feedback etc.
  • To lead the Embassy Summer Welfare, Health & Safety process in line with Study Group and  British Council requirements and be the Designated Safeguarding Lead (DSL) for Embassy Summer
  • To work with the Transfer Manager to develop the student arrival and departure transfer process and improve the student experience within budget.
  • Monitor quality control during the summer season and visit summer centres to assess levels of operational compliance and offer professional and pastoral support
  • Lead the selection and interview process for new candidates for posts within the Summer Operations team and comply with HR processes and policies
  • Manage the Operations team ensuring they have full JDs, objectives and work schedules and are given regular feedback
  • Provide training on Operational practices and seek out varied and relevant forms of training.
  • To take the lead on the Embassy Summer training programme working with the Embassy Summer Operations Team
  • To work alongside the recruitment function by outlining operational staffing requirements and supporting the induction and development of temporary summer staff
  • Through the Academy specialist ensure the Academy Schools run to the standards expected from this high end product
  • Programme Manage at least one summer centre if required.
  • Ensure Summer Centres are stocked with appropriate materials and equipment in good time and within budget.
  • Monitor the return of various administration and feedback records with the support of Operational team members
  • To produce feedback analysis stats from information gathered in centres.
  • To support the supplier invoicing process with the support of Operation team members Troubleshooting during the summer operational period
  • Emergency phone duty as required over the summer operational period
  • To develop the Study Tours product and oversee the operational needs of booked programmes through the support of an Operational team member and that the programmes run within budget
  • Ensure a timely response to sales requests on pricing/programme support and be aligned with the Agent Promise
  • To travel abroad to support sales as and when required
  • Take part in Embassy management conferences and meetings and represent Summer Schools at external workshops and trade fairs as appropriate.
  • To support where required the training of sales teams on the summer product.
  • To assist in the gathering and supply of information on the summer product to aid the marketing team in creating publicity material etc
  • Liaise with other Embassy departments and schools as appropriate
  • Play an active part in the on-going development of the Embassy Summer product range.

Qualifications & Training:

  • Proven managerial experience or qualification
  • Bachelors' degree or equivalent
  • Experience Required:
  • At least 8 years' experience within the industry with a proven track record of "in centre" managerial experience and main office operational management & compliance


  • Excellent organisational skills and project management skills
  • Excellent decision making and problem solving skills
  • Fast and accurate IT and system skills
  • Strong communication skills (written and verbal)
  • Excellent customer service skills
  • Microsoft office skills
  • Highly proficient in spoken and written English
