Operations Support Services Specialist

Job Description

To support the Admissions team from a systems perspective, liaising with key stakeholders ensuring that policies and procedures are met and adhered to. To assist in the efficient running of day-to-day operational tasks within the Operations Support Services department; administering and maintaining the data held within the applications and all Admissions related documentation.

Key Responsibilities 

  • Oversee full maintenance and management of admissions system applications ensuring it is up to date with all products, contracts and tariffs offered by Study Group UK
    • Set up and maintain system reference data
    • Create and maintain student facing documentation with collaboration from key stakeholders
    • Troubleshooting daily systems issues raised by the Admissions teams, providing support for system related processes
    • Identifying development needs, system bugs and requirements and raise accordingly
    • Implementing new procedures related to the Admissions systems with documentation and training as required
    • System testing for maintenance/software releases
    • Point of contact for data change management
  • Daily visa data uploading onto the UK Visas and Immigration Sponsorship Management System
  • Owning additional tasks or projects as delegated by the Operations Manager/Operations Director
  • Seek and maintain accurate product knowledge for all UK programmes
  • Annual proofing of all application forms and ensuring sign off by all stakeholders

Selection Criteria

Qualifications and Training

  • Degree preferable

Experience Required

  • Career experience within an administrative, operational and/or customer service environment
  • Experience of using system databases/applications
  • Experience within Admissions or Education related fields desirable
  • Experience of training others in a workplace desirable

Knowledge and Skills

  • High lever user of MS office, especially Outlook, Word and Excel
  • Ability to use multiple systems
  • Exceptional attention to detail
  • Strong organisation skills and ability to prioritise workload in a pressured environment
  • To be able to work as an individual as well as a team member
  • Conscientious and reliable
  • Native English speaker level of fluency
