Job overview

An exciting opportunity has arisen for an Executive Assistant to provide support to our Global Chief Operating Officer (GCOO) and Chief Information Officer (CIO). In this job you'll be a key contact and coordinator on behalf of the GCOO and CIO liaising with other senior Study Group executives and external clients worldwide. You'll be proactively managing the diaries of both the GCOO and CIO, arranging international travel arrangements and itineraries, preparing for meetings, and organising and preparing for global meetings and conference calls. You'll also be involved in the preparation of papers for Board and Global Executive Team meetings.

Key responsibilities

  • Complex Diary Management – ensuring meetings are scheduled, sometimes at short notice, across multiple time zones
  • Booking and coordinating travel and itineraries to include multi-country travel and visas
  • Email Inbox Management and responding to emails and delegating on behalf of the GCOO & CIO
  • Preparation of documents including presentations, reports etc.
  • Liaising with senior internal and external stakeholders
  • Office management duties
  • Other ad hoc duties and projects as required
  • Working with the other Executive Assistants to ensure the smooth running of the office

Experience and qualification

  • Have previously worked as an Executive Assistant
  • Excellent secretarial and administrative skills
  • Confident and able to work on own initiative with autonomy and minimum supervision
  • Highly discreet and used to working with highly sensitive and confidential information
  • Possess excellent organisation and time management skills
  • Excellent oral, written, numerical, articulation and communication skills and ability to professionally represent the GCOO & CIO
  • Excellent IT skills – Outlook, PowerPoint, Word, Excel, Diligent
  • Ability to work to a demanding schedule and delivery deadlines
