We are Study Group, a global pathway provider in International Education. Our University of Sussex International Study Centre is looking to find an Academic Administration Team Leader to take responsibility for the team that cover all areas of the Academic Administration.

The purpose of this role is to lead Academic Administration team and ensure effective and timely scheduling of lessons, including classing of students, allocation of tutors and rooms; and to ensure assessments and examinations are prepared, scheduled and run according to Centre and University rules and regulations. The role will also process and analyse data and provide a variety of management information reports. This is a very busy team, with high volumes of data, however for the right person; this is a fast-paced, exciting, and challenging position in an ever-changing environment where no day is the same.

Key responsibilities

  • Lead and motivate ISC academic administration staff to contribute to ensuring the best possible student outcomes and student experience.
  • Contribute to developing, communicating and enacting the strategy and priorities for the ISC.
  • Provide effective performance management of direct reports, including: setting personal objectives and KPIs; regularly reviewing performance of direct reports; and conducting formal performance reviews according to company policy and procedures.
  • Oversee the classing of students based on instructions and information obtained from the academic management team.
  • Oversee the cover process, working with the academic management team to ensure classes are covered where possible and that students are informed about classing changes and cancellations.
  • Ensure assessments, exams and mark schemes are produced and both assessment and examination sessions are run in accordance with JCQ regulations
  • Ensure students are entered for relevant assessments and exams, including resits and retakes
  • Prepare assessment and exam timetables, statements of entry, registers and seating labels
  • Prepare invigilation timetables, co-ordinate and schedule invigilators
  • Ensure the security, collation, distribution, collection and archiving of assessments , examination scripts and documentation
  • Administer, co-ordinate and supervise all assessments and written examinations
  • Liaise with caretakers for rooming arrangements and to identify assessment and examination venues and negotiate hire costs
  • Coordinate the sign off process for all assessment activities
  • Oversee the accurate and timely compilation of results, data analysis and reports to present to various governance groups, committees and management meetings.
  • Verify the accuracy of results and assessments.
  • Compile Assessment and Examination officer reports for Examination Boards, including details from exam sessions (e.g. any relevant exam issues or misconduct) and noting mitigating circumstances.
  • Plan, oversee and monitor the implementation of actions from the Centre Action Plan relevant to academic administration.
  • Analyse data and feedback from a wide variety of sources to monitor progress towards progression targets, planning and implementing remedial actions where necessary.
  • Contribute to the production of the Annual Monitoring Report, Centre Action Plan, and other evaluative and reflective documents, for submission to the Study Group (Provider) and the University.

Experience

  • Bachelor Degree
  • Previous experience managing Academic Admin staff.
  • Experience working on Progresso or a similar student management system.
  • Experience using University databases.
  • A sound understanding of UK higher education and experience.
  • Working experience in an Examination office would be desirable.
