Accounts Payable Officer

Job overview

The Accounts Payable Officer is Responsible for supporting the shared services with effective financial administration, particularly timely and accurate processing of transactions in order to meet deadlines.

This position requires the ability and willingness to commit to accurate and timely processing of invoices, electronic funds and draw cheques for payment, as well as processing vendor payments via bank transactions and reconcile bank statements to the financial system.

Key responsibilities

  • Ensure day to day queries are dealt with in a timely and effective manner. Ensure pending issues are followed up at all times
  • Ensure accurate coding of invoices and correct treatment of GST & use of meaningful narratives
  • Ensure supplier payment terms & business SLAs are adhered to
  • Accurate processing of payment runs, including Suppliers, Home Stay, Student Refunds and OSHC
  • Investigate variances and anomalies identified through the payment process
  • Perform regular Trade Creditor reviews; ensure debit balances and queries are resolved in a timely manner
  • Understand Agresso workflow to ensure accurate routing of invoices & maintenance of invoice approvers
  • Work closely with AP Manager to prioritise payments in line with company cash flow
  • Ensure Student payment SLAs are adhered to
  • Month End AP reconciliations and reporting
  • Account and Supplier reconciliation
  • Review, analyse and provide accurate reporting on creditors and credit card expenses outstanding.
  • Provide accurate and timely standard reports and ad-hoc reports as required.
  • Effective communication with the AP manager to keep them up-to-date with progress on tasks and objectives
  • Build and maintain good working relationships with internal staff and suppliers
  • Ensure continuous personal development with systems maintenance on Study Global and Finance systems
  • Work closely with the wider finance teams and department managers in order to ensure accurate processing

Capabilities and experience required

  • Minimum 2-3 years AP experience
  • Advanced Microsoft office including Excel, Word and Outlook
  • Analytical mindset to assist with reports and projects
  • Customer Focused - dedicated to meeting the expectations and requirements of internal and external customers
  • Results Focus - Produces high quality timely and accurate results that address business needs
  • Acts in a way that builds trust, respect and support from others
  • Excellent communication and interpersonal skills with the ability to liaison and report to senior management as well as able to build relationships at all levels of an organisation.
